SYMPTOMS

When you use the Insert Address feature in Microsoft Word 97 to insert an address from a Microsoft Outlook 97 contact, you may not get a full address inserted.

CAUSE

The address information in the selected Contact has not been registered properly in the Contact folder and you are using an AddressLayout AutoText entry in Word to define the address format.

RESOLUTION

To force registration of the Contact, follow these steps:

  1. In Outlook, open the Contact.
  2. Click to clear the "This is the mailing address" check box.
  3. Click to select the "This is the mailing address" check box.
  4. Click Save And Close.

Return to Word and reinsert the address; it should now be entered correctly.

MORE INFORMATION

If you installed the Word Address Book on the computer, this problem usually is related to an imported Contact file in combination with the use of the AddressLayout AutoText that redefines the data to be displayed. If you did not install the Word Address Book, follow the steps below.

To Install the Word Address Book

  1. In the "Microsoft Office 97 Setup" dialog box, click Add/Remove.
  2. Click Microsoft Word. (Do not clear the check mark from the Microsoft Word check box.)
  3. Click Change Option.
  4. Click to select the Address Book check box.
  5. Click OK and then continue through the Office 97 Setup program dialog boxes until Setup is complete.

Steps to Reproduce the Problem

To reproduce this behavior, in Outlook, import a contact file from another program and in Word set up an AddressLayout AutoText entry.

  1. In Outlook, on the File menu, click Import and Export.
  2. Click "Import from Schedule+ or another program or file," and click Next.
  3. Click the appropriate file format and click Next.
  4. Type the name of the file to be imported and click Next.
  5. Click Import <filename> into the Contacts folder and then click "Map Custom Fields" where <filename> is the name of the file you want to import.
  6. Map the incoming name and address fields to the appropriate Contact fields, click OK and then click Finish.
  7. In Word, setup an AddressLayout AutoText entry to define the layout of the address to be inserted. See the REFERENCES section below for information on defining the AutoText entry.
  8. On the Tools menu, click Envelopes And Labels.
  9. Click Insert Address to insert an address into either the Delivery address or Return address window.

RESULTS: The address inserted may have only partial information.
