SYMPTOMS

Users who run Microsoft Office Outlook 2003 in cached mode may not be able to download incremental changes in the Offline Address Book. Instead, the users instead download the whole Offline Address Book. Additionally, the users may receive the following message:

Outlook is about to download a full version of the Offline Address Book. Would you like to continue?

The following event may be recorded in the Application log if the users are using Outlook 2003 Service Pack 1 (SP1) or a later version of Outlook 2003:

CAUSE

This problem may occur when one of the following conditions is true:

  • One or more mailboxes has a blank mail attribute.
  • One or more mailboxes is missing a Primary SMTP proxy address attribute
  • One or more mailboxes contains a domain name in the SMTP proxy address attribute that does not match the address in the current Offline Address Book. For example, the SMTP proxy address in the Offline Address Book is user@contoso-ltd.com and the one in active directory is user@contoso.com.


RESOLUTION

To resolve this problem, use one of the following methods.

Method 1: Use the Recipient Update Service to correct the mail attributes and SMTP proxy address attributes in the Active Directory

To run the recipient update service:

  1. Start the Exchange System Manager.
  2. Expand Recipients, and then click Recipient Update Service.
  3. In the right pane, right-click Recipient Update Service (Domain_Name), and then click Rebuild.

Method 2 : Manually correct the mail attributes and the SMTP proxy address attributes in the Active Directory directory service

If you can determine which mailbox contains the incorrect or missing attributes, you can correct the attributes manually by using the Active Directory Service Interfaces (ADSI) Edit tool. To do this:

  1. Examine the event that described in the "Symptoms" section. In the data section of the event, you may be able to determine the mailbox that contains the incorrect or missing attributes. In the event in the "Symptoms" section, the problematic mailbox is "testmailbox".
  2. Click Start, point to Programs, point to Windows 2000 Support Tools, point to Tools, and then click ADSI Edit to start the ADSI Edit snap-in.

    Note The ADSI Edit tool is part of the Microsoft Windows Server 2003 Support Tools or of the Windows 2000 Support Tools. Install these tools from the Support folder on the Windows installation media.
  3. In the ADSI Edit tool, expand the domain container.
  4. Locate the container that the affected users are in.
  5. Right-click the user name that corresponds to the mailbox that you noted in step 1, and then click Properties.
  6. Perform one of the following procedures:
    • If one or more mailboxes has a blank mail attribute:
      1. On the Attributes tab, click mail under Select a property to view.
      2. Type the correct e-mail address in the Edit Attribute box.
      3. Click Set, and then click OK.
    • If one or more mailboxes is missing a Primary SMTP proxy address attribute:
      1. On the Attributes tab, click proxyAddresses under Select a property to view.
      2. Type the correct SMTP address in the Edit Attribute box.
      3. Click Add, and then click OK.
    • If one or more mailboxes contains a domain name in the SMTP proxy address attribute that does not match the address in the current Offline Address Book:
      1. On the Attributes tab, click proxyAddresses in the Select a property to view box.
      2. Click SMTP:bad_SMTP_address in the Value(s) box under Attribute Values.
      3. Click Remove.
      4. Click OK.
      5. In the Edit Attribute box, change the domain name to the correct domain name.
      6. Click Add.
      7. Click OK.


WORKAROUND

To work around this issue, turn off cached mode in Outlook 2003:

  1. On the Tools menu, click E-Mail Accounts, click View or change existing e-mail accounts, and then click Next.
  2. In the Outlook processes e-mail for these accounts in the following order list, click the Exchange Server e-mail account, and then click Change.
  3. Under Microsoft Exchange Server, clear the Use Cached Exchange Mode check box.
  4. Quit Outlook, and restart Outlook.


MORE INFORMATION

This problem is resolved in Exchange Server 2003 Service Pack 1 (SP1). If you upgrade all Offline Address Book servers in your organization to Exchange Server 2003 SP1, you will not experience the issue described in this article. If you are currently running Exchange 2000 Server, you will first have to upgrade to Exchange Server 2003, and then install Exchange 2003 Service Pack 1.

By default, there is only one Offline Address Book server in an Exchange organization. However, administrators may set up more than one. To determine which server is the Offline Address Book server:

  1. Start the Exchange System Manager.
  2. Expand Recipients.
  3. Expand Offline Address Lists.
  4. Make a note of the following entry in the right pane: Default Offline Address ListsServer_Name.
