SYMPTOMS

While you are creating envelopes or labels in Microsoft Word 2002, you may not be able to view the properties of a Microsoft Outlook contact. When you select a name, and then click Properties in the Envelopes and Labels dialog box, no properties are displayed.

CAUSE

This issue can occur when Outlook contacts are stored in a local personal folder (.pst) file, rather than on a Microsoft Exchange Server-based computer.

WORKAROUND

To work around this issue, store your Outlook contacts and other Outlook data on an Exchange Server-based computer. If your data is stored on the server, you can view the properties of contacts in the Envelopes and Labels dialog box.

If you use Outlook with Exchange Server, you can choose to have Outlook store information on the Exchange Server-based computer, instead of in a set of .pst files on your hard disk.

To determine where Outlook currently stores your data, follow these steps:

  1. On the Tools menu in Outlook, click E-mail Accounts
  2. Click View or change existing e-mail accounts, and then click Next.
  3. Look at the Deliver new mail to the following location list box. If the list box contains the word "Mailbox" followed by an e-mail name, Outlook stores data in folders on the Exchange Server-based computer. If the list box contains the words "Personal Folders" or another name of a set of personal folder (.pst) files, Outlook stores new messages, contacts, appointments, and so on in the personal folder file on your hard disk.

To store your contacts and other Outlook data on the Exchange Server-based computer, you must have a mailbox on an Exchange Server-based computer. If you do not have such a mailbox, your system administrator must create one for you.

When you have a mailbox on the Exchange Server-based computer, you can create an Exchange Server e-mail account, and then import the information from your personal folder files to your Exchange Server mailbox.

How to Import Personal Folder (.pst) File Data

To import personal folder (.pst) files into Outlook, follow these steps:

  1. On the File menu, click Import And Export. If the Import And Export command is not available, rest your pointer over the chevrons at the bottom of the menu, and then click Import and Export.
  2. Click Import from another program or file, and then click Next.
  3. Click Personal Folder File (.pst), and then click Next.
  4. Type the path and the name of the personal folder file that you want to import, and then click Next.
  5. Select the folder that you want to import, or select the top of the hierarchy to import everything, and then click Finish.
