SUMMARY

This article describes how to insert an Adobe Acrobat Reader .pdf file or parts of .pdf files in a slide in Microsoft PowerPoint.

Note PowerPoint does not directly support conversion from the Adobe .pdf. file format.

How to insert a .pdf file in a slide

To insert a .pdf file or parts of a .pdf file to PowerPoint, use one of the following methods, depending on your version of Adobe Acrobat Reader.

Adobe Reader version 7.x

To copy any range of text, such as part of a page, a whole page, or the whole .pdf file from the .pdf file to PowerPoint, follow these steps:

  1. Open the .pdf file in Adobe Reader.
  2. On the Tools menu, select the Basic submenu, and then click Select.
  3. Select all the text in the .pdf file that you want to copy. Or, click Select All on the Edit menu to select all the contents of the file.
  4. On the Edit menu, click Copy.
  5. In PowerPoint, click the location in which you want to paste the text. Then, click Paste on the Home menu under Clipboard group.

To copy a graphic from the file, follow these steps:

  1. Open the .pdf file in Adobe Reader.
  2. On the Tools menu, select the Basic submenu, and then click Snapshot Tool.
  3. Locate the graphic that you want to copy.
  4. By holding the mouse key, draw a rectangle around the graphic. When you release the mouse key, you receive the following message:

    The selected area has been copied to the Clipboard.

  5. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under Clipboard group.

Adobe Reader version 6.x

To copy any range of text, such as part of a page, a whole page, or the whole .pdf file from the .pdf file to PowerPoint, follow these steps:

  1. Open the .pdf file in Adobe Reader.
  2. On the Tools menu, select to display the Basic submenu, and then click Select Text.
  3. Select all the text in the .pdf file that you want to copy. Alternatively, click Select All on the Edit menu to select all the contents of the file. On the Edit menu, click Copy.
  4. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

To copy a graphic from the file, follow these steps:

  1. Open the .pdf file in Adobe Reader.
  2. On the Tools menu, select to display the Basic submenu, and then click Select Image.
  3. Locate the graphic that you want to copy.
  4. Right-click the graphic, and then click Copy Image to Clipboard.
  5. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

Acrobat Reader version 5.x

To copy text from a .pdf file, follow these steps.

Note Text formatting may be lost when you paste the text in another file.

  1. Open the .pdf file in Adobe Acrobat Reader, and then click Export Document to Text on the File menu.
  2. Specify a name and a location for the text file, and then click Save.
  3. Switch to PowerPoint, and then click Open on the File menu.
  4. Locate the text file that was saved, select the file, and then choose Open.

To choose the text that you want to copy, such as part of a page, a whole page, or the whole .pdf file from the .pdf file to PowerPoint, follow these steps:

  1. Open the .pdf file in Adobe Acrobat Reader.
  2. Click the Text Select tool.
  3. Select all the text in the .pdf file that you want to copy, or click Select All on the Edit menu to select all the contents of the file.Then, click Copy on the Edit menu.
  4. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

To copy a graphic from the file, follow these steps:

  1. Open the .pdf file in Adobe Acrobat Reader.
  2. Click the graphics select tool.
  3. Select the graphic that you want to copy, and then click Copy on the Edit menu.
  4. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

Acrobat Reader version 4.x

To copy a page of the .pdf file to PowerPoint, follow these steps:

  1. Open the .pdf file in Adobe Acrobat Reader.
  2. Find the page that you want to copy.
  3. On the Basic Tools toolbar, click Text Select Tool .
  4. On the Edit menu, click Select All.
  5. On the Edit menu, click Copy.
  6. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

To copy the whole .pdf file to PowerPoint, follow these steps:

  1. Open the .pdf file in Adobe Acrobat Reader.
  2. On the View menu, click Continuous.
  3. On the Edit menu, click Select All.
  4. On the Edit menu, click Copy.
  5. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

To copy graphics, follow these steps:

  1. Open the .pdf file in Adobe Acrobat Reader.
  2. Press SHIFT, and then click Text Select Tool.
  3. Without releasing the mouse, click Graphic Select Tool on the toolbar that appears.
  4. When the insertion point changes to a cross-hair icon, draw a rectangle around the graphic.
  5. On the Edit menu, click Copy.
  6. In PowerPoint, click the location in which you want to paste the image. Then, click Paste on the Home menu under the Clipboard group.

To determine whether you can copy text, follow these steps:

  1. On the File menu, point to Document Info, and then click Security.
  2. If the Selecting Text and Graphics option is set to "Allowed," you can copy the text and the graphics and then paste the selection in another program.

Note Text that you pasted from Adobe Acrobat retains character-level formatting, such as fonts, bolded text, italic, underlines, and colors. Text does not retain graphics, paragraph formatting, or other formatting options when you copy text to the Clipboard.
