SYMPTOMS

When you attempt to send the results of a mail merge in Works Word Processor to a new document, you may receive the following error message:

Works was unable to use the specified template. The new document will be created based on the default document template instead.

When you click OK, Works Word Processor opens a new, blank document with no merge fields.

CAUSE

This behavior can occur if the hard disk contains insufficient space to create the new, merged document.

During a mail merge, Works Word Processor cannot warn you about low disk space conditions. When you send the mail merge results to a new document, Works actually creates one document for each merge record, and then combines the single-record documents into one document that contains all of the records. If the mail merge contains a large number of records, this procedure can consume a large amount of disk space.

RESOLUTION

To resolve this issue, free more disk space before you attempt to send the results of a mail merge to a new document. To do this, use one or more of the following methods.

Empty the Recycle Bin

Files that you delete are not erased from the hard disk drive, but actually moved to a Recycle Bin folder and still occupy disk space. To free up disk space used by the Recycle Bin:

  1. on the Windows desktop, right-click Recycle Bin, and then click Empty Recycle Bin.
  2. Click Yes.

Archive and Delete Unused Data Files

You may be able to restore a lot of disk space by moving data files to another disk, and then deleting the files from the hard disk. This process is called archiving files. The data files are still easy to access, but they no longer use hard disk space. The disk can be nearly any type of mass storage such as floppy disks, removable drives like a Zip drive, a second hard disk drive, or network storage. The process of moving files to any of these external storage areas is the same. To move data files, follow these steps:

  1. Start Windows Explorer.
  2. In the left pane of the Windows Explorer window, find the disk to which you want to archive the files.


You may see something like "Removable Disk (D:)," or "3 1/2 Floppy (A:)."

  1. Browse to find the files that you want to archive. You can archive entire folders or individual files.
  2. Drag the folders or files to the disk to which you want to archive the files.
  3. Double-click the archive disk to make sure that the folders and files are present on the disk.
  4. If the folders and files are still present on the hard disk drive, it is safe to delete them. To do this, right-click a folder or file, and then click Delete.

Uninstall Infrequently Used Programs

To uninstall programs that you do not use frequently:

  1. Click Start, point to Settings, and then click Control Panel.
  2. Double-click Add/Remove Programs.
  3. Click the program that you want to remove, and then click Add/Remove.
  4. Follow the instructions on the screen to uninstall the program.

NOTE: To remove a program that is not listed in the Add/Remove Programs dialog box, use the uninstall utility for that program, use a third-party software remover program, or delete the folder in which the program is installed. Microsoft recommends caution when using the second or third methods because the program folder can contain files that are required by other programs.

Compress the Hard Disk Drive

NOTE: You cannot compress a hard disk drive that uses the FAT 32 disk format.
