Creating Different Top and Bottom Margins in Same Document

SUMMARY

The top and bottom margins are set globally for a Microsoft Word document using the Document command in Word versions 4.0 and 5.x or the Page Setup command in Word versions 3.x. These settings affect the entire document and cannot be altered by page or section.

To produce the effect of varying top and bottom margins in the same document, follow these steps:

  1. From the Format menu choose document (File Page/Setup in Word 3.x). Set the top and bottom margins to the smaller margin value needed in the document. For example, if you need top and bottom margins in one part of the document set to .5 inches and top and bottom margins in another part of the document set to 1.5 inches, set Top and Bottom margins to .5 inches.

  2. Insert section breaks (COMMAND+ENTER) at the beginning of each section where the margins need to be changed. For example,

    Consider a 5 page document in which page 3 will have a larger top and bottom margin than the other pages. In this example, a section break would be inserted at the beginning of page 3, in order to change the margins on that page. A section break would also be inserted at the top of page 4 in order to change the margins to a value back from than those margin settings used on page 3.

  3. Click in the section whose margins are to be increased. From the View menu choose Header (Document/Open Header in Word 3.x and 4.0). Insert enough blank lines to “push” down the text at the top of the page(s). Several lines in the header increases the header size and causes the main body text to start further down in the document. Then insert blank lines in the Footer to create the same effect at the bottom of the page(s).

  4. To view your custom margins, choose Print Preview from the File menu (Word 4.0 and 5.x only).

Note: This workaround will not work if the top or bottom margins have been set to Exactly (in Word 3.x and 4.0, exact margins are set by adding “-” before the margin value. For example, exactly 1 inch is “-1 in”).
