SUMMARY

Groups are used in the Internet Mail Only installation of Outlook to provide multiple addressee functionality, often referred to as a distribution list. This article describes the steps to create a group using the Windows Address Book.

A Group is used to send a mail message to multiple recipients. To create a Group in Outlook, follow these steps:

  1. On the Tools menu, click Address Book.
  2. In Address Book, on the File menu, click New Group. In Group Name, type an appropriate descriptive name for the Group.
  3. Click Select Members and then choose each member to add to the group, and then click Select to add the recipient to the Members list.


NOTE: You may select multiple members by holding down the CTRL key as you click each name in the Address Book list.

  1. Click OK twice, and close Address Book.

To use the Group you created, follow these steps:

  1. On the File menu, click New and then click Mail Message.
  2. Click To and select the Group you wish to use. In Message Recipients click To, Cc or Bcc to place the group in the appropriate box of the message. Click OK.

NOTE:

  • After a Group is setup, the only way to save it is to backup the entire PST that the Group was added to in the address book.
  • Groups cannot be exported.
  • If members are selected from another data source not in same PST file, the names will not display unless the other PST file is open.
