SYMPTOMS

You may receive the following error message

Sorry there was an error (340) accessing the file

when you save a PowerPoint 4.0 presentation in PowerPoint 3.0 presentation format or print a PowerPoint 4.0 presentation.

This error also occurs when graphics from Image Gallery are placed in the 4.0 presentation.

CAUSES

This problem can be caused by one or more of the following situations.

  • The presentation or any of the slides in the presentation were, at one time, opened and edited in a prereleased version of PowerPoint 4.0.

  • The presentation contains OLE objects for which the server application is not available on the system. For example, you have a presentation that contains Microsoft Excel objects, but you are trying to save the presentation in PowerPoint 3.0 format on a machine that does not have that same version of Microsoft Excel installed.

    These objects can be identified by selecting the object and in the last line of the Edit menu, seeing if “Edit <server application> object” is listed and is unavailable (dimmed). The <server application> must be available; the unavailable command indicates the application is not registered on this computer.

RESOLUTIONS

Method 1: Convert or Delete Graphics

  1. Delete any graphic that causes the problem, or, if the graphics are not bitmaps, convert them to PowerPoint objects using the Ungroup command.

    It may require a great deal of trial and error to identify which graphics are bad. You can do this by dividing the presentation into several smaller presentations and trying to save each of them as PowerPoint version 3.0 files until you can locate the slide(s) that is causing the problem.

    NOTE: If the graphic is on one of the masters (Slide Master, Notes Master, and so on), you will have the problem saving any slide in the presentation as a PowerPoint version 3.0 file.

  2. If you had to delete any of the graphics because they could not be converted to PowerPoint objects (bitmap, too many colors, or too many pieces), reimport the graphics from their original source files.

  3. Save or print the presentation.

Method 2: Print or Save from Originating System

  1. Move or copy the presentation to the computer on which it was created.
  2. Verify that the server applications for all of the OLE objects in the presentation are available on the workstation.
  3. Save or print the presentation.

Method 3: Paste Special

  1. Copy the graphic from the server application.
  2. In PowerPoint, choose Edit, Paste Special, Paste as picture. This will completely drop the OLE link.
