Printing Envelopes on Left-Feed Printers

The information in this article applies to:
- Microsoft Word for Macintosh, versions 4.0, 5.0, 5.1

SUMMARY

Word 5.0 and 5.1 ship with preset templates formatted to print envelopes to center- and right-feed printers but not to left-feed printers. The following information describes how to print envelopes to two left-feed printers: the Apple LaserWriter Pro 600 and the Hewlett-Packard (HP) 4M.

Note: In general, if the printer driver lists an envelope size as a paper choice and changes the size of the page in print preview, use that envelope paper size and set up envelope margins accordingly. However, if the page size remains as an 8.5-inch-by-11-inch sheet of paper in print preview, margin changes must be made to print the envelope correctly.

LaserWriter Pro 600

  1. From the File menu, choose Page Setup, set the orientation to landscape, and select US Letter for the paper size.

  2. Choose the Options button and select Larger Print Area.

  3. Choose the OK button twice to exit Options and Page Setup.

  4. From the Format menu, choose Document.

    To print an envelope without a return address, set the margins as follows, and go to step 5:

    Top: 7.0 Left: 4.5 Bottom: 0.5 Right: 2.0

    To print an envelope with a return address:

    1. Set the margins as follows:

      Top: 4.5 Left: 0.25 Bottom: 0.5 Right: 2.0

    2. Type the return address.

    3. Press RETURN enough times to create 12 paragraphs (lines), including the return address.

    4. Display the ruler and set the left indent to 4.5 inches.

  5. Type the mailing address.

  6. From the File menu, choose Print. For paper source, choose Manual Feed.

To print the envelope using Word 5.1 s envelope feature, change the settings to the following in the print dialog box:

Paper Size: US Letter Orientation: Landscape Envelope Alignment: Left Envelope Size: <dependent on envelope used>

Hewlett-Packard 4M

  1. From the File menu, choose Page Setup, set the orientation to landscape, and select Commercial 10 or Env Comm 10 if using Apple s LaserWriter printer driver for #10 envelopes.

  2. Choose the Options button and select Larger Print Area.

  3. Choose the OK button twice to exit Options and Page Setup.

  4. From the Format menu, choose Document.

    To print an envelope without a return address, set the margins as follows, and go to step 5:

    Top: 2.25 Left: 4.5 Bottom: 0.5 Right: 0.5

    To print an envelope with a return address:

    1. Set the margins as follows:

      Top: 0.25 Left: 0.25 Bottom: 0.25 Right: 0.5

    2. Type the return address.

    3. Press RETURN enough times to create 12 paragraphs (lines), including the return address.

    4. Display the ruler and set the left indent to 4.5.

  5. Type the mailing address.

  6. From the File menu, choose Print and select Manual Feed.

To print the envelope using Word 5.1 s envelope feature, change the settings to the following in the print dialog box:

Paper Size: Commercial 10 or Env Comm 10 if using Apple s printer driver Orientation: Landscape Envelope Alignment: Left Envelope Size: <dependent on envelope used>

MORE INFORMATION

To print the envelopes on these printers, feed the envelopes in the following manner:

LaserWriter Pro 600

Feed the envelope through the manual-feed slot of the LaserWriter, with the address side face up and the top edge of the envelope facing toward the right side of the printer.

Hewlett-Packard 4M

If using the HP printer driver, feed the envelope through the manual-feed slot of the LaserWriter, with the address side face up and the top edge of the envelope facing toward the right side of the printer.

If using the Apple 8.1.1 printer driver with the HP printer description file, feed the envelope through the manual-feed slot of the LaserWriter, with the address side face up and the top edge of the envelope facing toward the left side of the printer.

When prompted, press the “On Line” button on front panel of the printer so that the envelope will be drawn into the printer.
