You receive an error message if your mailbox size is larger than its size limit in Outlook 2007 and in Outlook 2003

If you use Microsoft Office Outlook 2007 or Microsoft Office Outlook 2003 while you are online, and then try to save an e-mail message in the Drafts folder, you may receive an error message that is similar to the following:

Error: The item could not be saved to this folder. The folder has been deleted or moved, or you do not have permission. Do you want to save a copy of it in the default folder for the item?

When you click Yes to close the error message, you may receive an error message that is similar to the following:

Operation Failed


If you use Outlook while you are offline, and then try to save an e-mail message in the Drafts folder, you may receive an error message that is similar to the following:

Sync error

However, the message may be saved in the "Synchronization failures" folder.

This problem may occur if the total size of your mailbox exceeds the limitation that is set on your Microsoft Exchange-based mail server.

WORKAROUND

To work around this problem, either archive or delete e-mail messages.

Archive Old Messages

To archive old e-mail messages:

  1. In Outlook, click Archive on the File menu.
  2. In the Archive dialog box, click Archive this folder and all subfolders.
  3. Click the folder that you want to archive, and then click a date after which you want to archive items in the Archive items older than box.
  4. In the Archive file box, type the file where you want to store archived files, and then click OK.
  5. After the process is complete, try to save a message to the Drafts folder. If this does not resolve the problem, continue to archive items until you can successfully save a message to the Drafts folder.

Delete Old Messages

To delete old e-mail messages:

  1. In the Outlook folder that contains the messages that you want to delete, click the message that you want to delete, and then press DELETE. To select more than one message at a time, press and hold CTRL while you click the messages that you want to delete, and then press DELETE.
  2. Click Yes to confirm the deletion.
  3. If this does not resolve the problem, continue to delete messages until you can successfully save a message to the Drafts folder.
