You experience more network traffic than expected when you access a mailbox by using the IMAP4 protocol in Outlook 2007

SYMPTOMS

You use Microsoft Office Outlook 2007 to access a mailbox by using IMAP4. However, more network traffic passes between Outlook 2007 and the mailbox server than when you use an earlier version of Microsoft Outlook to access the mailbox.

CAUSE

This behavior occurs because of the default send and receive behavior in Outlook 2007 for use with IMAP4. By default, the IMAP4 send and receive configuration in Outlook 2007 cause Outlook 2007 to synchronize the headers and flags for each subscribed folder every 30 minutes. This behavior differs from Microsoft Office Outlook 2003. In Outlook 2003, the default send and receive configuration only synchronizes the headers of the Inbox every 30 minutes. Also, Outlook 2003 only polls the unread message count for other folders every 30 minutes.

WORKAROUND

To work around this behavior, and to reduce the network traffic that is sent to and received from the IMAP mailbox server when you use Outlook 2007, modify the send and receive settings for the IMAP account in Outlook 2007. To do this, follow these steps:

  1. Start Outlook 2007.
  2. On the Tools menu, point to Send/Receive, point to Send/Receive Settings, and then click Define Send/Receive groups.
  3. In the Send/Receive Groups dialog box, click the group that contains the IMAP account, and then click Edit.
  4. In the Send/Receive Settings - group name dialog box, click the IMAP account in the Accounts pane.
  5. In the results pane, click Use the custom behavior defined below.
  6. Under Account Options, click the Inbox folder.


Note Do not click to clear the Inbox check box.
