SYMPTOMS

Consider the following scenario. You migrate documents from a Microsoft SharePoint Portal Server 2001 document library to a Microsoft Office SharePoint Portal Server 2003 document library. To do this, you use the Microsoft Office SharePoint Portal Server 2003 Document Library Migration Tools or you use a custom tool. The documents that you migrate are associated with a document profile in SharePoint Portal Server 2001. The name of a field in the document profile is the same as the name of a property that is contained in the documents.

When you view the documents in the SharePoint Portal Server 2003 document library, you notice that the column in the document library that corresponds to the field in the document profile displays incorrect data. The column incorrectly displays the value of the document property instead of the value of the field in the document profile.

For example, you experience these symptoms when the following conditions are true:

  • You migrate HTML documents from SharePoint Portal Server 2001 to SharePoint Portal Server 2003.
  • The HTML documents contain a title tag (<title>) that defines the title of the document.
  • The document profile that is associated with the HTML documents contains a field named Title.

In this scenario, the title that is defined by the title tag appears in the Title column when you view the document in SharePoint Portal Server 2003.

CAUSE

This problem occurs when Microsoft Windows SharePoint Services 2.0 stores document properties instead of document metadata such as document profile properties. Windows SharePoint Services 2.0 does not let you specify that you want to use document metadata when you import documents to SharePoint Portal Server 2003.

RESOLUTION

Service pack information

This problem was first corrected in Windows SharePoint Services 2.0 Service Pack 3.To resolve this problem, obtain the latest service pack for Windows SharePoint Services 2.0. For more information, click the following article number to view the article in the Microsoft Knowledge Base:

Hotfix information

How to obtain the hotfix

This issue is fixed in the Windows SharePoint Services 2.0 post-Service Pack 2 Hotfix Package that is dated July 31, 2006. For more information, click the following article number to view the article in the Microsoft Knowledge Base:

923499 Description of the Microsoft Windows SharePoint Services post-Service Pack 2 hotfix package: July 31, 2006

This hotfix exposes a Windows SharePoint Services 2.0 method. The method lets you specify that Windows SharePoint Services 2.0 store document metadata when you import documents from SharePoint Portal Server 2001 document libraries to SharePoint Portal Server 2003 document libraries.

Important If you use the Document Library Export Tool (Spin.exe), you must also install the SharePoint Portal Server 2003 post-Service Pack 2 hotfix that is documented in article 924294 in the Microsoft Knowledge Base.
For more information, click the following article numbers to view the articles in the Microsoft Knowledge Base:

924294 Description of the SharePoint Portal Server 2003 post-Service Pack 2 hotfix package: August 16, 2006

924295 A column in a document library displays incorrect data after you use the SharePoint Portal Server 2003 Document Library Migration Tools to migrate documents from SharePoint Portal Server 2001 to SharePoint Portal Server 2003

The SharePoint Portal Server 2003 post-Service Pack 2 hotfix that is documented in article 924294 in the Microsoft Knowledge Base introduces a new /prefermetainfo command-line option for the Spin.exe tool. The /prefermetainfo command-line option uses the Windows SharePoint Services 2.0 method that is exposed by this hotfix. Therefore, when you use the Spin.exe tool to import documents from SharePoint Portal Server 2001 document libraries to SharePoint Portal Server 2003 document libraries, you can specify that you want to import document properties.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.

MORE INFORMATION

The SharePoint Portal Server 2003 Document Library Migration Tools consist of the following tools:

  • The Document Library Export Tool (Spout.exe)
  • The Document Library Import Tool (Spin.exe)

Use the SharePoint Portal Server 2003 Document Library Migration Tools to migrate documents and metadata from SharePoint Portal Server Web Storage System–based document libraries to SharePoint Portal Server 2003 Microsoft SQL Server-based document libraries.

Note Web Storage System–based document libraries include SharePoint Portal Server 2001 document libraries and SharePoint Portal Server 2003 backward-compatible document libraries.
