The hotfix that is discussed in this article is not available for the Chinese version of Microsoft Dynamics CRM or for the Japanese version of Microsoft Dynamics CRM.

SYMPTOMS

You cannot restrict users in your organization from taking any one of the following actions:

  • Printing data in Microsoft Dynamics CRM 3.0
  • Exporting data from Microsoft CRM 3.0 to Microsoft Excel

Your organization may want to restrict users from printing personal information in Microsoft CRM 3.0 or from exporting personal information from Microsoft CRM 3.0 to Excel. Personal information may include items such as e-mail addresses and telephone numbers.

RESOLUTION

To resolve this problem, follow these steps:

  1. Install the hotfix that is described in this article. After you install the hotfix, users cannot print data in Microsoft CRM 3.0 or in Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers. Additionally, users cannot export data from Microsoft CRM 3.0 to Microsoft Excel or from Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers to Microsoft Excel. For more information, see the "Hotfix information" section.
  2. Enable the hotfix. After you enable the hotfix, users cannot use the Excel toolbar button in the Microsoft CRM grid views or in the Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers grid views to export data to Microsoft Excel. For more information, see the "How to enable the hotfix" section.
  3. Create an alternative database by using the AlternateDataSource registry key, and then enable the export of data from this database to Microsoft Excel. In this manner, you can make sure that the data that a user exports from Microsoft CRM 3.0 or Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers has personal or private information removed from it. For more information, see the "How to create an alternative database" and "How to enable the export of data from an alternative database to Excel" sections.

    Note After you take this action, the user receives an error message in Excel if one of the following conditions is true:
    • An invalid AlternateDataSource registry key value is set.
    • The user does not have read access to the alternative database.

    The message that the user receives is the following message:

    Connection failed: SQLState: '08004' SQL Server Error: 4060 Server rejected the connection; Access to selected database has been denied'.

Hotfix information

A supported hotfix is now available from Microsoft. However, it is intended to correct only the problem that is described in this article. Apply it only to systems that are experiencing this specific problem. This hotfix may receive additional testing. Therefore, if you are not severely affected by this problem, we recommend that you wait for the next Microsoft Dynamics CRM service pack that contains this hotfix.

Install this hotfix on computers that are running Microsoft CRM 3.0 Client, Microsoft CRM 3.0 Server, or Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers.

Removal information

You cannot remove this hotfix.

Restart requirement

If you are prompted, restart the computer after you install this hotfix.

How to enable the hotfix

Warning Serious problems might occur if you modify the registry incorrectly by using Registry Editor or by using another method. These problems might require that you reinstall your operating system. Microsoft cannot guarantee that these problems can be solved. Modify the registry at your own risk.

Note After you enable this hotfix, users will be unable to print data in Microsoft CRM 3.0 or in Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers. Additionally, users will be unable to export data from Microsoft CRM 3.0 or Microsoft Dynamics CRM 3.0 Professional Edition for Service Providers to Excel. Only the Dynamic PivotTable function and the Dynamic Worksheet function will be available to users in Excel.

  1. Exit Microsoft CRM 3.0.
  2. On the Microsoft CRM server, click Start, click Run, type regedit, and then click OK.
  3. Locate and then click the following registry subkey:

    HKEY_LOCAL_MACHINE\Software\Microsoft\MSCRM

  4. On the Edit menu, point to New, and then click DWORD Value.
  5. Type DoNotAllowStatic, and then press ENTER.
  6. Right-click DoNotAllowStatic, and then click Modify.
  7. In the Value data box, type 1, and then click OK.
  8. On the File menu, click Exit to exit Registry Editor.

How to create an alternative database

Note Before you follow the instructions in this article, make sure that you have a complete backup copy of the database that you can restore if a problem occurs.

To create an alternative database, you must back up the Microsoft CRM 3.0 database regularly and then restore the database from the backup. For example, you could back up the Adventure_Works_Cycle_MSCRM database and then restore it as Adventure_Works_Cycle_MSCRM_Alternate.

Note How frequently you back up the Microsoft CRM 3.0 database depends on how frequently new records are added or old records are removed. For example, you could back up the database nightly.

After you have restored the Adventure_Works_Cycle_MSCRM database as an alternative database, you can remove the private or personal data in this alternative database. To do this, use code that resembles the following example code.

Notes

  • Performing direct SQL updates against the MSCRM database is not supported. The example code will update the CustomerAddressBase table in the Adventure_Works_Cycle_MSCRM_Alternate database and will remove the data in the ADDRESS1_LINE1 field and in the CITY field. The data for these fields will no longer be available to the Dynamic PivotTable function or to the Dynamic Worksheet function when the user clicks the Excel toolbar button in the Microsoft CRM grid views.
  • The example code must be changed if you want to prevent data from fields other than the ADDRESS1_LINE1 field and the CITY field from being exported from the alternative database.

To use the example code, follow these steps:

  1. Click Start, point to Programs, click Microsoft SQL Server, and then click Query Analyzer.
  2. In the Connect to SQL Server dialog box, click to select the Microsoft SQL server from the drop-down box, and then click OK.

    Note You must log on as a SQL Server administrator user.
  3. In the Database list on the SQL Query Analyzer toolbar, click your company’s database. For example, click the Adventure_Works_Cycle_MSCRM_Alternate database.
  4. Type the following command in the Query window, and then click Execute on the Query menu:

    USE Adventure_Works_Cycle_MSCRM_Alternate
    GO
    UPDATE CustomerAddressBase
    SET Line1 = '',
    City = ''

How to enable the export of data from an alternative database to Excel

Important Before you can use the alternative database, you must enable the hotfix. To do this, see the "How to enable the hotfix" section.

  1. Exit Microsoft CRM 3.0.
  2. On the Microsoft CRM server, click Start, click Run, type regedit, and then click OK.
  3. Locate and then click the following registry subkey:

    HKEY_LOCAL_MACHINE\Software\Microsoft\MSCRM

  4. On the Edit menu, point to New, and then click String Value.
  5. Type AlternateDataSource, and then press ENTER.
  6. Right-click AlternateDataSource, and then click Modify.
  7. In the Value data box, type a string value that resembles the following string, and then click OK:
     DRIVER=SQL Server;APP=Microsoft Office 2003;Network=DBMSSOCN;Trusted_Connection=Yes;SERVER=ServerName;DATABASE=DatabaseName
  8. On the File menu, click Exit to exit Registry Editor.
