Usage information

Important We recommend that you back up all the following objects before you use the MSCRMUnshareUtility tool:

  • The Microsoft CRM databases
  • The Microsoft CRM Active Directory organization unit
  • Active Directory user accounts that are configured as Microsoft CRM users

For more information about how to back up Microsoft CRM-related objects, see Chapter 10, "Backing Up and Restoring your Microsoft CRM System," in the Microsoft CRM 1.2 Implementation Guide.

To use the MSCRMUnshareUtility tool, follow these steps:

Note Make sure that all the affected user accounts are members of PrivUserGroup before you use the MSCRMUnshareUtility.

  1. On the Microsoft CRM server, extract the MSCRMUnshareUtility files to a folder. For example, extract the files to the %ProgramFiles%\Microsoft CRM folder.
  2. Connect to the Microsoft CRM server as the CRM Administrator, and then locate the \MSCRMUnshareUtility\bin\Release folder.
  3. Open the file MSCRMUnshareUtility.xml file by using a text editor such as Notepad.
  4. In the following tag, modify the value for the crmservername entry.

    <add key="crmservername" value="YourCRMServer"/>

    Note Replace YourCRMServer with the name of the Microsoft CRM server. For example, if the Microsoft CRM server name is CRMAdventure, modify the tag so that it appears as follows.

    <add key="crmservername" value="crmadventure"/>
  5. Save the changes to the .xml file, and then start MSCRMUnshareUtility.exe. A list of disabled Microsoft CRM user accounts appears on the left side of MSCRMUnshareUtility. A list of the related entities appears on the right side of MSCRMUnshareUtility.
  6. Select a disabled user account, and then select one or more of the related entity entries.

    Note We recommend that you select only one entity entry at a time for the first installation of MSCRMUnshareUtility to test the tool in your environment.
  7. Click FastMode.

    Event messages such as "now processing" and "now done" appear in the status window when MSCRMUnshareUtility correctly revokes access to Microsoft CRM records.

    Note For more status information, see MSCRMUnshareUtilityLog in Event Viewer.
