SUMMARY

In Microsoft Word for the Macintosh version 4.0, when copying or linking a range in Excel version 2.2 that has a border formatted for shading, the shaded area does not print from Word. This happens because all QuickDraw formats, such as character formatting and simple borders, are copied; however, PostScript formats are not copied.

To work around this problem, do the following:

While in Excel version 2.2, hold down the SHIFT key while selecting Copy Picture from the Edit menu. When this picture of the Excel worksheet is pasted into Word, it will print the desired shading.

Note that LaserWriter driver version 6.0 must be used to get the expected quality of shading because LaserWriter drivers before version 6.0 do not support printing gray scale.

MORE INFORMATION

If higher quality shading, or more direct control over its placement, is desired, you may want to use embedded PostScript commands within the cells of the table that results from an Excel range being pasted or linked into Word. The following two sets of PostScript commands represent individual cell and row shading, respectively:

These two strings can be added to the Standard Glossary and added to separate cells and/or rows to create the desired shading effect.

Note: These strings must be followed by a paragraph return and formatted with the PostScript style. Because Word can link only single-paragraph cells to Excel, the Update Link and Edit Link commands cannot be used after this procedure.

There is currently no way to use the Paste Link, Edit Link, or Update Link with these features. This feature is under review and will be considered for inclusion in a future release.

NOTE: In Microsoft Word version 5.0, cell shading can be applied without using PostScript code. Shading is still not, however, transferred from Excel through copy and paste.
