FINDING INFORMATION

After you enter records in the datafile window, you will want to search through the datafile to find records that match certain criteria so you can prepare reports based only on some of the records in your datafile.

To Find Records

  1. Choose Find from the Organize menu.
  2. Select an insertion point in one of the fields.
  3. Type the information you want to find.
  4. The find window looks just like the form for the datafile you are using.

To Use Operators

Type one of these operators along with the information you want File to look for:

   Operator          Description
   --------          -----------

   John              Finds John and Johnson

   =John             Finds only John

   <>John            Finds Aaron, David, and Johnson

   >John             Finds Johnson, Kummer, and Linton

   <John             Finds Aaron and David

   >=John            Finds John, Johnson, Kummer, and Linton

   <=John            Finds Aaron, David and John

   John...L          Finds John, Johnson, and Kummer

Use the symbol "*" as a wildcard for matching any number of characters in a certain position. Use the "?" for matching a single character.

Use a comma (,) to specify a series of items to find when you use the "=" operator or no operator.

For example, type John, David to find all records that match "John" and all records that match "David".

If the information you want to find includes one of the operators or a comma (for example, in Medium date formats), put quotation marks around what you want to find.

For example, type "Sep 6, 1985" to find that one date. Also, you can type ="" to find blank values, or #ERROR* to find error values.

To Hide Records

If there are records you don't want displayed in the datafile window, you can hide them by selecting the records and choosing Hide Records from the Organize menu.

To Display All Records

You can display all the records in the datafile window by choosing Show All Records from the Organize menu.
