SYMPTOMS

In Microsoft Word versions 4.0 and 5.0, the “Circular Next File Chain” warning message may appear during a print job.

CAUSE

This message indicates that the Next File listing in the Document dialog box is trying to link to the document that begins the print job. The name of the file that contains the incorrect link is included in the warning box.

STATUS

Microsoft has confirmed this to be a problem in Word for the Macintosh versions 3.0, 4.0, 5.0, and 5.1. This problem was corrected in Word for the Macintosh version 6.0.

MORE INFORMATION

Documents may be linked together so that files that make up a very large document can be printed all at once. This procedure allows continuous pagination of linked files; elements such as footnotes, indexes, and a table of contents may span the separate files.

The link is established by clicking on the Next File button of the Document dialog box, which is reached by choosing the Document command from the Format menu. When Next File is clicked, an Open dialog box allows you to select the file that is to follow the current document. The selected filename then appears next to the button. If no link is desired, the Next File area of the dialog box should be blank.

If the file listed in the Next File area is the file that begins the chain of linked files, the “Circular Next File Chain” warning message appears during the printing procedure. The message includes the name of the file containing the incorrect entry. You can click OK to end the print job, then the Document dialog box of the file named in the message can be checked and the link changed. All files up to and including the offending file do print.

Examples of circular next file chains include the following:

  • File1 Links to File1.
  • File1 links to File2, which links to File1.
  • File1 links to File2, which links to File3, which links to File1.

Note: Word versions 3.0x do not catch linked files that are connected in a circular manner; they print out in a loop. Word 4.0 and 5.0 do not catch the case where a link goes back to an earlier file that is not the first file. An example of the latter would be File1 links to File2, which links to File3, which links to File2.
