1 Installing Microsoft Entourage 2001

1.1 Minimum System Requirements for Microsoft Entourage 2001



To use Microsoft Entourage 2001, your computer must meet the following minimum requirements:

- Processor: PowerPC, Mac OS compatible (clock speed of at least 120 MHz recommended)

- Operating System: Mac OS 8.1 or later (OS 8.5 or later recommended)

- Memory: 32 MB of RAM with at least 1 MB of Virtual Memory for systems prior to 9.0. 48 MB of RAM with at least 1 MB of Virtual Memory for systems 9.0 and later

- Available Hard Disk Space: 80-160 MB. This figure indicates a default installation of Microsoft Office; your hard-disk usage will vary depending on the amount of data you store in Microsoft Office and the options you choose to install. Choices made during a custom installation may require more or less hard disk space.


- Approximately 160 MB of hard-disk space to install Microsoft Office.

- Disk Drives: CD-ROM drive or a connection to a local area network if you are installing Microsoft Entourage from a network.

- Monitor: Monitor that can display 256 grays or 256 colors and resolutions of 640x480 or higher (Color monitor that can display thousands or millions of colors and resolutions of 800x600 or higher recommended)

To use all of the features available in Microsoft Entourage, it is recommended that you have the following additional items and services:

- Modem: 14.4 Kbps or higher
- Internet access through an Internet service provider (ISP) or a network

To use Microsoft Entourage to view large, complex HTML messages such as those with numerous images, it is recommended that you increase the preferred memory size of the program. To do this:

1. Select the Microsoft Entourage program icon in the Finder.
2. Select Get Info from the File Menu.
3. Select Memory from the pop-up menu.
4. Increase the size of the Preferred Size.

NOTE: If you are running Mac OS 9, we recommend that you run OS 9.0.4 or later, because there have been several changes that enable Microsoft Entourage to perform better. This upgrade is free for OS 9 owners and can be downloaded from:

In addition to the files installed in the Microsoft Office 2001 folder, the files listed below are installed in the following locations on your hard disk when you install Microsoft Entourage 2001:

If you install all Office programs, including Microsoft Word, Excel, and PowerPoint, other items may also be installed. For more details, consult the documentation for each Microsoft Office program that you have installed.

2 Importing Data from Another Program

The first time you start Microsoft Entourage, the Entourage Setup Assistant appears and asks you to enter some personal information, such as your name and address. (This information is used only for features in Microsoft Office, such as getting driving directions to an address and automatically adding a return address to a letter you create in Microsoft Word.) After you enter your personal information, the Entourage Setup Assistant asks if you want to import data from an e-mail program, a personal information manager program, or both. To import data from a program, click the option you want, and then follow the instructions in the assistant to specify which program you want to import data from as well as which data you want to import.

If you have already completed or dismissed the Entourage Setup Assistant and you would like to import data from another program, click Import on the File menu, and then select the program you want to import data from.

2.1 Importing Data from Microsoft Outlook Express 5

If you selected default fonts for displaying, creating, or printing items in Microsoft Outlook Express, such as the default font for messages in HTML format, you must restart Microsoft Entourage after the import process is complete to update these settings in Entourage.

If you selected an AppleScript to run as part of a rule, schedule, or action by the Junk Mail Filter in Outlook Express, you will need to update the script to work with Entourage. Generally, this can be as simple as opening the script in the Script Editor and replacing "Outlook Express" with "Microsoft Entourage" in any "tell application" statements in the script. After you have updated the script, you will need to select the updated script in the rule, schedule, or Junk Mail Filter in Entourage.

2.2 Importing Data from Qualcomm Eudora (Any Version)

Known issues:

Microsoft Entourage does not import the "read" status of messages. This means that the status of all imported messages will be "unread" in Entourage. After you have finished importing your messages, you can quickly mark all of the messages as "read" by clicking the imported folder in the Folder list, and then clicking Mark All as Read on the Message menu. Also, Entourage will not maintain links between messages and any attachments they might have. However, the attachments will still be stored on your hard disk.

2.3 Importing Data from Netscape Communicator 4.0 or Later

During the import process, you will be asked to select the Netscape Users folder that contains the data you want to import. When selecting this folder, make sure you select the folder that contains your profile folder(s), not the profile folder itself. By default, the folder you should select is the "Netscape Users" folder stored in the Preferences folder in your System Folder. However, if you store your profile folder(s) in a different location, select that folder instead. For example, if you store your profile folder(s) in the Documents folder, select the Documents folder.

2.4 Importing Data from Claris Emailer 2.0v3
_________________________________________________________________
If you import data from Claris Emailer, Microsoft Entourage automatically starts Emailer as part of the import process; Emailer must be running for Entourage to import data from it.

If you have problems importing data from Claris Emailer, try assigning more memory to Emailer by using the Get Info dialog box in the Finder. For more information about assigning more memory to a program, see Mac OS Help. After you have assigned more memory to Emailer, start both Emailer and Entourage, and then begin the import process again.

Known issues:

Due to limitations in Claris Emailer, you cannot import account settings, priorities, rules, mail actions, and schedules. You will need to recreate these items in Entourage. Also, Entourage will not maintain links between messages and any attachments they might have. However, the attachments will still be stored on your hard disk.

2.5 Importing Data from Claris Organizer 2.0 or Palm Desktop 2.0 or Later

If you are importing from Palm Desktop, make sure your data file is named "User Data". This file is located inside your user folder, which is inside the Palm "Users" folder.

Known Issues:

Microsoft Entourage always imports the Primary address from your former program into the Work address tab in Microsoft Entourage. If you have changed the labels so that the Primary address is "Home" and the Secondary address is "Work," you will need to swap addresses for your contacts. 2.6 Importing Data from Now Contact or Now Up-To-Date 3.8 or Later

If you import data from Now Contact or Now Up-To-Date, Microsoft Entourage automatically starts Contact or Up-To-Date and opens the default data file for the program as part of the import process. However, in some cases you should manually start Contact or Up-To-Date and open the data file that contains the data you want to import before you start the import process in Entourage. These cases are:

  • If you created more than one data file for Contact or Up-To-Date.
  • If you try to import data and the import stalls, alerts you of an "AppleEvent timeout" or does not import any data.

Similarly, if you are using a trial version of Now Contact or Now Up-To-Date, be sure to manually start the program and, before you start the import process in Entourage, dismiss the initial dialog box that prompts you to register the program.

Known issues:

Due to a limitation in Now Contact and Now Up-To-Date, you cannot import categories. You will need to recreate your categories in Entourage. To do so, click Edit Categories on the Edit menu. Also, you cannot import some types of attachments for contacts, such as calls, appointments, to-dos, undated and special events, holidays, URLs, and documents, and events, such as contacts and URLs.

2.7 Importing Data from Other Programs, Such As Microsoft Outlook 2000

You cannot import data directly from programs that are not listed above. However, you can import contacts and messages from additional programs by first exporting the contacts or messages from the other program in a format that Microsoft Entourage understands, and then importing them to Microsoft Entourage. For example, you can export your contacts from Microsoft Outlook 2000 as a tab-delimited text file, and then import the file to Microsoft Entourage. 3 Synchronizing with a Palm Handheld




Before you can synchronize your Palm OS handheld with Microsoft Entourage, you must install the Handheld Synchronization software that is in the Value Pack folder on your Office 2001 CD. To do so, start the Value Pack Installer and select the Handheld Synchronization check box in the list of items to install.

To synchronize data, make sure that your Palm user name and your Entourage identity name match precisely. If you attempt to synchronize and the names of your Palm user and Entourage identity do not match, a message alerts you that the user does not exist. If this happens, you must change the name of your Entourage identity. To do so:

1. Click Switch Identities on the File menu.
2. Click the current name of your Entourage identity, and then click Rename.
3. In the Identity name box, type your Palm user name, and then click OK.

If the message still appears after you have changed your Entourage identity name, make sure that the Palm User folder on your computer has not been accidentally renamed. In the Palm folder on your computer, open the Users folder, and then change the name of the folder to match your Entourage identity name and the handheld's user name. 4 Using Microsoft Entourage with a Microsoft ExchangeServer




Although Microsoft Entourage was not specifically developed as a Microsoft Exchange client, it can be used with a Microsoft Exchange server that supports Internet standards. For example, you can use Microsoft Entourage to receive messages that are stored on an Exchange server, if the server supports the POP or IMAP protocol. You can also use Microsoft Entourage to access a Global Address List as a directory service, if the Exchange server supports the LDAP protocol. For information about setting up Microsoft Entourage to work in any of these ways, contact your system administrator.

Similarly, if you create a calendar event in Microsoft Entourage and invite others to it, the invitation can be received in Microsoft Outlook because it is sent by using the iCalendar standard. Microsoft Entourage also provides limited support for receiving Exchange-format meeting requests so you can easily add such a meeting to the Calendar.

5 Maintaining Your Microsoft Entourage Data

5.1 Location of Your Microsoft Entourage Data



Entourage stores data such as preferences, rules, schedules, signatures, messages, contacts, and all other Entourage items in a database on your computer. The first time you start Entourage, a new folder, called the Microsoft User Data folder, is created in the Documents folder. Within the Microsoft User Data folder, Microsoft Entourage creates a folder called Office 2001 Identities. This folder contains the Main Identity folder, which stores the data for the first identity. Each time you create a new identity, Entourage adds a folder for it to the Microsoft Office 2001 Identities folder.

You can move your Microsoft User Data folder to a different location, including an AppleShare server. To do so, place an alias to the Microsoft User Data folder in one of two places: the Documents folder at the root of your startup volume, or in the Preferences folder in the System Folder. We do not recommend that you store the data folder in the same folder as the Microsoft Entourage program. Some users who have done this have accidentally deleted their data when they deleted the program folder.

5.2 Backing Up Your Microsoft Entourage Data



We highly recommend that you make regular backup copies of your data so you can restore it in the unlikely event that your hard disk is damaged or your data becomes unreadable. To do so, drag the identity folder you wish to back up to another volume, such as a different local or network hard drive or a high-capacity storage disk. To restore the data for an identity, drag the backup copy of the identity folder to the Office 2001 Identities folder.

5.3 Clearing the Cache of the Microsoft Entourage Database



Entourage keeps a copy of an IMAP, Hotmail, or news message in the database until the original item is deleted from the server. If you wish to delete the cached copy without deleting the corresponding item from the server, hold down CONTROL and then click the mail or news server's icon in the Folder list. On the contextual menu that appears, click Empty Cache. After you clear the cache, you might want to compact the database to reclaim space on your disk. See the next section for information on doing this.

5.4 Compacting the Microsoft Entourage Database



Microsoft Entourage uses a single database to store data, including messages, contacts, calendar events, notes and tasks. When you delete an item, Entourage does not automatically reduce the size of the database. However, the corresponding space is free to be reused when new items are added to the database. You can manually compact the database to reduce its size by rebuilding the database. You might want to do this after deleting many items.

To compact and rebuild the database, hold down OPTION while you launch Microsoft Entourage. If you have Office QuickView installed, select Turn Reminders Off in the Control Strip before you launch Microsoft Entourage. When the message appears that asks you what type of rebuild you want to perform, make sure the Typical rebuild option is selected, and then click Rebuild.

5.5 Rebuilding the Microsoft Entourage Database



If you have trouble starting Entourage or opening and viewing Entourage items, you might need to rebuild the database. Rebuilding repairs errors and compacts the database. For more information about rebuilding the database, see section 6.1, Starting Microsoft Entourage and Accessing the Database.

6 Troubleshooting

6.1 Starting Microsoft Entourage and Accessing the Database



If you have trouble starting Microsoft Entourage or difficulty opening and viewing Entourage items, you might need to rebuild the database.

To rebuild the database, hold down OPTION while you start Microsoft Entourage. If you have Office QuickView installed, select Turn Reminders Off in the Control Strip before you launch Microsoft Entourage. When the message appears that asks you what type of rebuild you want to perform, choose Typical Rebuild, which corrects most database problems. If you still have trouble following a Typical Rebuild, try the Advanced Rebuild.

NOTE: Advanced Rebuild is a serious tool to be used only if all other data recovery methods fail. When you perform an Advanced Rebuild, Entourage removes all IMAP, Hotmail, and news messages from the local cache. Therefore, you will have to do the following:

- Download the messages again from the server
- Reset folder column preferences for IMAP, Hotmail, and news message folders.
- Reenter settings for schedules that send and receive messages from news, Hotmail, and IMAP accounts
- Update rules that copy or move messages to IMAP or Hotmail folders.

Also, during an Advanced Rebuild, pictures are removed from contacts in the Address Book. To restore a picture to a contact, locate and drag it to the contact again.

6.2 Microsoft Entourage Quits Immediately



If you try to start Microsoft Entourage and Entourage immediately quits without starting, make sure the Internet Config Extension file is stored in the System Folder:Extensions folder on your hard disk. This extension is installed by the operating system and is required by Microsoft Entourage. If the extension is not in your Extensions folder, you can re-install it by using the Mac OS installer program. __________________________________________________________________

7 Known Issues

7.1 Conflict with the Instant Palm Desktop or Instant Organizer System Extension



If you have Instant Palm Desktop or Instant Organizer installed in you Extensions folder, you may experience a crash in Microsoft Entourage or any of the other Office programs when choosing a menu. Removing this file from the Extensions folder and rebooting your computer will fix this issue.

7.2 Adding Words Containing Punctuation to the Custom Dictionary



You cannot add words that contain punctuation to the custom dictionary from Microsoft Entourage. To add such a word to the custom dictionary, type the word in a Microsoft Word document and then add it to the dictionary from that program.

7.3 Receiving Overdue Reminders for Recurring Tasks or Events



If you set a reminder for a recurring task or calendar event and you do not open any Microsoft Office programs on the day the reminder is scheduled to appear, the reminder for that occurrence of the task or event will not appear.

7.4 Print Preview in Low-Memory Situations



If you try to print an Entourage item when your computer is low on memory, the Print Preview pane in the Print dialog box might not display properly. To fix this problem, quit any other programs that you don't need to use at the moment.

7.5 Viewing Attendee Status for an Invitation That You Sent



If you send an invitation to multiple recipients and they respond to your invitation, there are cases in which these responses will not be properly reflected in the Attendee Status window. You can work around this issue by opening the event, clicking the Attendee Status button, and manually choosing the proper response for each attendee.

7.6 Responding to Invitations Not Addressed Explicitly to You



Due to limitations in iCalendar, there are certain instances in which you will not be able to respond to an invitation to a calendar event by using the Accept, Decline, or Tentative buttons. These instances are:
- The invitation is not addressed explicitly to you but is addressed to a mailing list or another type of distribution list of which you are a member.
- The invitation was redirected to you from a different account or from another person.

When you receive such an invitation, the event is automatically added to the Calendar. If you click Accept or Tentative in the invitation, the event remains in the Calendar. If you click Decline, the event is removed from the Calendar. In any of these instances, a response is not sent to the organizer of the event and you will need to send your response manually.

To determine whether you need to send your response manually:

1. Open the invitation.
2. On the View menu, click Source.
3. Locate the ATTENDEE line in the source code of the invitation.

- If the ATTENDEE line contains your e-mail address, you do not need to send your response manually.
- If the ATTENDEE line does not appear or does not contain your e-mail address, you need to send your response manually.

To send your response manually:

1. Open the invitation.
2. On the Message menu, click Reply.
3. In the text area of the message, type your response.
4. Click Send Now.

7.7 Enabling Video Mirroring while Running Microsoft Entourage



If you attempt to turn on Video Mirroring while Microsoft Entourage is running, your computer might stop responding. To avoid this issue, quit Entourage, turn on Video Mirroring, and then restart Entourage.

7.8 Printing a Message at Less Than 100%



If you print a message at a scale of less than 100%, the left margin of the printout might be clipped. To print a message at a smaller scale, copy the contents of the message to a new note, and then print the note at the smaller scale.

7.9 Entering Dates on non-English versions of Mac OS 9



If you are running Mac OS 9.0.0, you might have trouble saving calendar events that contain dates with accented characters. To fix this problem, upgrade your system software to Mac OS 9.0.4 or later. This upgrade is free for OS 9 owners and can be downloaded from

7.10 Support for Bi-Directional Languages



Microsoft Entourage does not support bi-directional languages.
