XCCC: Inviting Multiple Conference Resources May Have Incorrect Results

SYMPTOMS

After you book an online conference, the wrong resource may be used and displayed in the conference.

CAUSE

This issue can occur because if you perform the following steps, you can "invite" more than one conferencing resource:

  1. Start Microsoft Outlook.
  2. Click Calendar.
  3. On the File menu, point to New, and then click Meeting Request.
  4. Click To, select two or more conferencing resources, and then click Required to add the resources to the Required box.
  5. Send the meeting request, and notice that the conference has been booked.

Because you can book multiple resources for a conference when the This is an online meeting using check box has not been selected, the last resource that is processed in the meeting request is used as the host for the conference. Because of this process, the resource that you intended to use for the conference may not be the resource that is used.

WORKAROUND

To work around this issue, use Microsoft Outlook 2000, which provides the Direct Booking feature. To book the correct resource:

  1. Start Outlook 2000.
  2. Click Calendar.
  3. On the File menu, point to New, and then click Meeting Request.
  4. Click to select the This is an online meeting using check box, and then click Microsoft Exchange Conferencing in the list.


NOTE: If Microsoft Exchange Conferencing is not displayed in the list, you must add a specific registry key before you can continue. Please refer to the "More Information" section of this article for the procedure to add the appropriate registry key.

  1. Click To, select the appropriate conferencing resource, and then click Resources to add the resource to the Resources box.
  2. Send the meeting request, and notice that the conference has been booked.


MORE INFORMATION

Note: This issue can also occur if someone adds a conference room to the Resources section and adds a conference room to the Required section of the meeting request. The conference resource designated in the Required section of the meeting request will be processed last and used as the conference room resource for the booked meeting.

For Outlook 2000 clients to book online conferences, Microsoft Exchange Conferencing must be displayed in the This is an online meeting using list in a standard meeting request. To enable the Microsoft Exchange Conferencing option, you need to add the following registry key.

WARNING: If you use Registry Editor incorrectly, you may cause serious problems that may require you to reinstall your operating system. Microsoft cannot guarantee that you can solve problems that result from using Registry Editor incorrectly. Use Registry Editor at your own risk.

  1. Start Registry Editor (Regedt32.exe)
  2. Locate the following key in the registry:

    HKEY_CURRENT_USER\Software\Microsoft\Office\9.0\Outlook

  3. On the Edit menu, click Add Key, and then add the following registry key:

    Key Name: ExchangeConferencing
    Class: leave this blank

  4. Click OK.
  5. Quit Registry Editor.

After you perform these steps, quit Outlook 2000 and then restart Outlook 2000. Notice that the meeting request has an additional option, Microsoft Exchange Conferencing.
