SYMPTOMS

When you use individual POP3 e-mail accounts on your computer running BackOffice Small Business Server 4.5, the POP3 connector is able to retrieve e-mail messages from the POP3 servers. However, the POP3 connector may not be able to deliver e-mail messages to the correct recipient. This behavior occurs even though you have the correct Exchange Server recipient's mailbox assigned on the User Mailboxes tab in the POP3 connector properties dialog box.

The sender of the e-mail message may receive an error similar to:

The following recipients did not receive the attached mail. Reasons are listed with each recipient:

The message that caused this notification was:

Where old_domain.com is the domain name used before changing the site addressing or the user's SMTP address.

CAUSE

This behavior occurs because the POP3 connector database is not automatically synchronized with the Exchange Directory database. If the user's original SMTP address used by the POP3 connector for a recipient is removed or modified, the Internet Mail Service is not able to deliver the message.

RESOLUTION

To correct this behavior and replicate the changes to the POP3 connector database, you must re-assign each recipient to their respective POP3 mailbox. To re-assign an Exchange Server recipient to their respective POP3 mailbox:

  1. Start the Microsoft Exchange Server Administrator program.
  2. Click Connections, and then double-click Connector for POP3 Mailboxes in the right-hand pane.
  3. Click the User Mailboxes tab.
  4. Click the POP3 Mailbox entry assigned to the recipient, and then click Edit.
  5. On the Mail Download Properties dialog box, click Browse, and then double-click the Exchange Server recipient assigned to this POP3 account.

The above steps need to be performed even though the correct recipient is already assigned.

You may also use the Exchange Server Administrator Program to correct this behavior by adding the previous SMTP address to the recipient. To add an SMTP address to a recipient:

  1. Start the Exchange Server Administrator program.
  2. Double-click the recipient.
  3. Click the E-mail Addresses tab.
  4. Click New.
  5. Select Internet Address.
  6. Add the old SMTP address.

NOTE: If you are using a global ISP account, make sure that each Exchange Server recipient has the correct SMTP address on the E-mail Addresses tab in the recipient's properties.

When you assign an Exchange Server Recipient to a POP3 e-mail account on the User Mailboxes tab in the POP3 connector properties, the POP3 connector retrieves the SMTP reply address for that Exchange Server recipient, associates it to the POP3 account, and stores this information in a database.

When the POP3 connector retrieves e-mail messages from a POP3 account, it transfers the e-mail messages to the Internet Mail Service using the SMTP address associated with this account in its database.

This behavior may be caused by any action that modifies recipients' SMTP addresses. This includes changing SMTP site addressing, changing the Internet Domain with the SBS Console Internet Connection Wizard, or directly changing the recipient's SMTP address.
