SUMMARY
You can export text from a single PageMaker for Windows version 4.0 or 5.0 story or from an entire PageMaker publication for use in Word for Windows, Word for MS-DOS, or Word for the Macintosh by using the appropriate method below.
Exporting Text from a Single PageMaker Story
- In PageMaker, place the cursor in the story you want to export.
- On the Edit menu, click Edit Story, or press CTRL+E to enter PageMaker's Story Editor.
- On the File menu, click Export.
- Provide an export file name, and select a file format option that your version of Microsoft Word can read. Available export format options include the following two formats that can each be read by Word for Windows, Word for MS-DOS, and Word for the Macintosh:
Rich Text Format (RTF) is the preferable export option if you want to use text from your publication in Word for Windows or Word for the Macintosh.
Exporting Text from Multiple Stories
A PageMaker for Windows document can be composed of several noncontiguous blocks of text (known as stories) within a publication. It may be inconvenient to export these stories one at a time for use in Word for Windows. To export text from more than a single story, follow these steps:
- Save the PageMaker publication that contains the stories you want to export and close the publication file.
- On the PageMaker File menu, click New and click OK to create a new publication.
- On the File menu, click Place.
NOTE: For the option to place existing PageMaker publications into your new publication, the PageMaker Story Importer filter must be installed. For example, this option appears as the "PageMaker PUB (.PM4) Import" filter option in PageMaker for Windows 4.0 Setup. - Select the stories from your original publication from which you want to use text in Word, or choose Select All if you want to use text from all the stories in your original publication and click OK.
NOTE: If all the stories contained in your original publication do not appear as placement options, specify a smaller number of characters in the "List only stories over __ characters long" box, and choose the Relist option. - Wait for the Place Text icon to appear. Click the upper-left corner of the page. PageMaker places the text from all the separate stories in your original publication into a single, contiguous story in the new publication file.
- On the Edit menu, click Edit Story, or press CTRL+E to enter PageMaker's Story Editor.
- On the File menu, click Export.
Provide an export file name, and select a file format option that your version of Microsoft Word can read. Available export format options include the following two formats that can each be read by Word for Windows, Word for MS-DOS, and Word for the Macintosh:
Microsoft Rich Text Format Microsoft Word 3.x - 5.x for MS-DOS
Rich Text Format is the preferable format option if want to use text from your publication in Word for Windows or Word for the Macintosh.

PageMaker Story Editor
When you edit a story in the PageMaker story editor (a basic word processor) only text and associated character and paragraph level formatting is retained. Graphics and other objects are not retained. Character and paragraph formatting (for example, font size and justification), as well as style definitions are retained when exporting to either of the formats listed above.
Although the steps listed in this article are the preferred export method according to Aldus Technical Support, you can also copy text from the PageMaker story editor to the Clipboard and paste it into Word.
Installing Filters in PageMaker
Depending on the options you chose when setting up PageMaker, the Microsoft Rich Text Format and Microsoft Word 3.x - 5.x for MS-DOS export filters may not be installed. To install the appropriate filter for your situation, run PageMaker Setup, choose the Filters option, select the appropriate export filter from the list of available options, and click OK to install the filter.
