"Missing Memo File" When Accessing a FoxPro or dBASE Via ODBC

SYMPTOMS

You may receive the following Open Database Connectivity (ODBC) error message

Missing memo file.

when you try to insert a FoxPro 2.5, 2.6, or 2.6a for MS-DOS, FoxPro 2.5, 2.6, or 2.6a for Windows, or dBASE III, III+, or IV database file using the Database command on the Insert menu or when you try to open such a file as a data source using ODBC during mail merge in Word 6.0.This will also manifest when using other database management system files, such as ACT! database files, that use one of the the dBASE file formats (DBF).

If you choose OK when this error is received, the following message is received:

Unable to open table: XXXXXXXX.

The result is that you cannot insert the database or open the database as a mail merge data source.



CAUSE

The FoxPro or dBASE database file you are attempting to insert or open as a data source contains a memo field for which the separate, supporting FoxPro .FPT or dBASE .DBT memo file is not available.



WORKAROUND

To successfully use data from the FoxPro or dBASE file, you must locate the supporting memo file and place that file in the same directory location as the primary database file you want to use.



MORE INFORMATION

If a memo file is available, Word will retain the content of a memo field in a resulting table cell when you choose to insert the primary database file using the Insert Database command. You can also use the primary database file as a mail merge data source, whether or not you actually want to use data from the memo field.
