Summary:

Sometimes the result of the REVNUM (Revision Number) field is one number larger than expected. This happens if you open a document in Word for Windows and then update the REVNUM field, even if you do not otherwise modify or save the document. By design, the REVNUM field reflects the revision number of the currently open version of the document. Therefore, if you edit the document by updating the REVNUM field, Word increments the REVNUM value.

More Information:

Although the value of the REVNUM field is based on the number of times the document has been saved, it is designed to be accurate at the time the document is being edited. For example, if you open a document in which the REVNUM value is 1 and update the REVNUM field, Word assumes that you are creating a new revision of the file and changes the REVNUM value to 2.

Workaround

  1. If you want to open a document, print it, and close it without saving changes, do not update the REVNUM field before printing. Word automatically updates field codes if either of the following is true:

    • The field code is located in the header or footer.

    -or-

    • The Update Fields option is turned on in the Print category of the Tools Options dialog box.
  2. Lock the REVNUM field to prevent updating. To lock the field, select the REVNUM field and press CTRL+F11. You can then update the fields in the document, print the document, and then unlock the REVNUM field by selecting it and pressing CTRL+SHIFT+F11.
