A tentative appointment appears in the calendar after you use a rule to delete a meeting request in Outlook 2007

Article ID: 926965

Article Last Modified on 4/25/2007

APPLIES TO

  • Microsoft Office Outlook 2007

SYMPTOMS

When you create a client-only rule to delete meeting requests in Microsoft Office Outlook 2007, received meeting requests are sent to the Deleted Items folder as expected. However, a tentative appointment still appears in the Outlook 2007 calendar.

You do not expect an appointment to appear in the calendar when you delete the associated meeting request. If you manually delete a meeting request, no appointment appears in the Outlook 2007 calendar. Also, if you use a server-side rule to delete meeting requests, no appointment appears in the Outlook 2007 calendar.

CAUSE

This problem occurs because of the way in which Outlook 2007 processes the client-only rule to delete the meeting request. Outlook 2007 processes the rule after Microsoft Exchange Server puts the tentative appointment on the calendar. Therefore, the following behavior occurs:

  1. Exchange Server puts a tentative appointment on the Outlook 2007 calendar.
  2. Outlook 2007 processes the client-only rule to delete the meeting request.
  3. Outlook 2007 sends the meeting request to the Deleted Items folder.
  4. Because Outlook 2007 deleted the meeting request and did not process the meeting request, Outlook 2007 does not perform a clean-up operation against the tentative appointment.

Note Earlier versions of Microsoft Outlook add the tentative meeting to the calendar. This differs from Outlook 2007 in which the Exchange Server calendar store driver adds the tentative appointment to the Outlook calendar. Therefore, when an earlier version of Outlook processes the client-only rule to delete the meeting request, the earlier version of Outlook also removes the corresponding tentative appointment item from the Outlook calendar.

WORKAROUND

To work around this problem, manually delete the tentative appointment from the Outlook 2007 calendar.

STATUS

Microsoft has confirmed that this is a problem in the Microsoft products that are listed in the "Applies to" section.
