In Microsoft Word for the Macintosh headers and footers can appear in Page Preview but can be truncated or not print if the margins are set to the minimum (or close to the minimum) required for the selected printer. These minimum margins are .9 inch when printing to Legal paper on a LaserWriter, .5 inch when printing to Letter paper on a LaserWriter, and .25 inch when printing to an ImageWriter. The headers and footers will NOT show in Print Preview, nor will they actually print.


Word attempts to place the header and footer information in the margins (above or below the body of the text); so, if the margins are close to the minimum, the header/footer is placed above or below the minimum printer requirements.


Microsoft has confirmed this to be a problem in Word for the Macintosh versions 3.x, 4.0, 5.0, and 5.1. This problem was corrected in Word for the Macintosh version 6.0.


To print the document correctly, specify a larger margin in Page Setup or, if printing to a LaserWriter, select Larger Print Area (Fewer Downloadable Fonts) from Options in Page Setup.


To keep the header or footer information from printing in the margin of the document, follow these steps:

  1. From the Format menu, choose Section.
  2. Change the Header and Footer boxes to reflect the minimum margin required for the selected printer and paper for top and bottom. The default is .5 inch, which is too small for printing Legal to the LaserWriter.
