Summary:

When entering information in a data file, or when converting a data file saved with an earlier version of Microsoft File, you may encounter the error message "Cannot fit additional data in record."

File version 2.00 allows each record to store only a total of 2K (approximately 2,048 characters) of data in the Number, Text, and Date fields of a record. When attempting to enter data in a Number, Text, or Date field after this limit is reached, File deletes this data when OK is clicked in response to the above error message.

To enter more than 2K of data in a field, use a Memo field. Most fields that do not need to be indexed should be entered as Memo fields to keep from running into this memory limitation.

After the error message is displayed, if File does not allow data to be deleted from a Text, Number, or Date field, do the following to delete data from the record:

  1. Highlight the record causing the error message.
  2. From the Edit menu, choose Copy.
  3. Close File and open a word processing application.
  4. Paste the record into the word processing application.
  5. Delete several characters from the record.
  6. Highlight and copy the modified information.
  7. Open the File data file.
  8. Highlight New at the bottom of the data file.
  9. From the Edit menu, choose Paste.
