SYMPTOMS
If the Multiple Label option is selected and you perform a print merge in Works version 2.0 or 3.0, fields containing no data will not compress.
By performing a record selection, it is possible to do a two-pass merge that will eliminate the blank spaces within a merge.
For example, a database with Title, Name, Company, and Address fields may not have a company entered for each record.
Microsoft has confirmed this to be a problem in Works versions 2.0 and 3.0 for the Macintosh. This problem was corrected in Works 4.0, which compresses blank fields during a print merge.
WORKAROUND
To work around this problem in Works 2.0 or 3.0, do the following:
- Perform a record selection using the rule “Company is blank”.
- Merge the first set of labels with the appropriate fields, but without the Company field in the merge document.
- Perform another record selection with the rule “Company is not blank”.
- Add the Company field to the merge document.
- Print merge the second set of labels.
