SYMPTOMS

Numbers in the Date, Fraction, or Time Number format may not be converted correctly from a Microsoft Excel spreadsheet into Microsoft Word.

All Date formats are converted as “#######” (without the quotation marks). Numbers formatted as Fractions may lose their fraction value. For example, “3 1/2” becomes “3”. When you convert numbers formatted as Time (such as “3:36 P.M.”), part of the time may be replaced with garbled characters.

WORKAROUND

To import these number formats, save the spreadsheet in Microsoft Excel in an ASCII file format, such as Comma-Separated Value (CSV) or Text.

To save a Microsoft Excel spreadsheet in CSV or text format, follow these steps:

  1. Open the Microsoft Excel spreadsheet. On the File menu, click Save As.
  2. Click Options and in the File Format list, select CSV or Text. Click OK.
  3. In the Save Worksheet As box, type a new file name and click Save.

When you open the spreadsheet in Word, the values from the spreadsheet will be comma separated (CSV) or tab separated (Text). To restore the data to table format:

  1. Highlight the text.
  2. On the Insert menu, click Text To Table.
  3. In the Insert Table dialog box, verify Convert From has the correct delimiter selected (Tab Delimited or Comma Delimited). Click OK to accept the number of Columns and Rows Word proposes for the data.

STATUS

Microsoft has confirmed this to be a problem in Word versions 5.1 and 5.1a for the Macintosh. This problem was corrected in Microsoft Word 6.0 for the Macintosh.
